1. Who we are

This website is run by GDL Electrical Contractors Ltd ("GDL", "we", "us"), a company registered in England & Wales (company number 06023154) at Brantwood, South End, Goxhill, Barrow-upon-Humber, North Lincolnshire, DN19 7LZ.

We are the controller of the personal information described here, which means we decide how it is used and are responsible for looking after it under the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

This notice covers visitors to our website, people who contact us, our customers and people who apply to work for us. How we handle information about our own staff is covered separately in their employment paperwork.

2. What we collect

When you contact us

If you use the form on our website, email or phone us, we collect your name, email address, phone number and whatever you tell us about your enquiry.

When we quote for or carry out work for you

• Your contact details, and those of anyone we deal with on site
• The address of the property or site, and any access arrangements such as gate or door codes
• Details of the installation and the work we do, including test results, certificates, reports and photographs of the work
• Quotes, orders, invoices and payment records

When you apply for a job

Your CV and covering letter, and anything else you choose to send us — typically your work history, qualifications, trade cards and contact details. If we offer you a job we will ask for more, such as references and proof of your right to work in the UK; that is explained to you at the time.

When you visit this website

Like almost every website, our web server keeps a short-lived log of the requests it receives — the IP address, the browser and the page asked for — so that faults and attacks can be investigated. We do not use analytics or advertising tools to track or profile visitors.

3. How we use it, and why we're allowed to

Data protection law only allows us to use personal information when we have a lawful reason. These are ours:

Where we rely on legitimate interests we have weighed them against your rights, and you can object at any time (see your rights). We will not use your details to send you marketing without your agreement.

4. Cookies and Google services

Cookies are small files a website stores in your browser. This website uses as few as it can:

Parts of the page code are also loaded from Google's servers, so your browser will connect to Google, which will see your IP address. Google's use of information is covered by the Google Privacy Policy and Terms of Service.

We do not use analytics, advertising or social media tracking cookies. You can block or delete cookies in your browser's settings — the site will still work, although the contact form's spam check needs Google's cookies to let a message through, so you may need to phone or email us instead.

5. Who we share it with

We never sell or rent your personal information. We only share it where we need to, with:

• The companies that host our website and provide our email and IT systems, who may only use it to provide that service to us
• NICEIC, our certification body, and local authority building control — for example when notifiable electrical work in a home has to be registered
• Suppliers and subcontractors, only as far as they need to deliver or complete your job
• Our accountants, insurers and professional advisers
• HMRC, the police or other authorities where the law requires us to

6. Outside the UK

Some of the services we use, such as Google's, may process information outside the UK. Where they do, the transfer is covered by UK adequacy regulations or by the contract safeguards approved under UK data protection law.

7. How long we keep it

• Enquiries that do not lead to any work: up to 2 years.
• Customer, job and invoice records: at least 6 years after the end of the financial year they relate to, as the law requires for business records.
• Electrical certificates and test results: for as long as they may be needed to show the work was carried out safely and correctly — at least 6 years.
• Job applications that are not successful: 6 months after the role is filled, unless you agree to us keeping your CV for future roles.
• Website server logs: a short period set by our hosting provider, normally a few weeks.

8. Your rights

You have the right to:

• Ask for a copy of the personal information we hold about you
• Ask us to correct anything that is wrong or incomplete
• Ask us to delete it, or to limit how we use it, where we no longer have a good reason to keep it
• Object to us using it on the basis of our legitimate interests
• Ask for information you gave us to be sent to you, or someone else, in a common electronic format
• Withdraw your consent at any time, where we are relying on it

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.

9. Keeping it safe

Our website uses an encrypted (HTTPS) connection throughout, our systems are password protected, and access to personal information is limited to the people at GDL who need it for their job. No system can be made completely secure, but we take reasonable care to protect what you trust us with.

10. Changes and contact

We will update this policy if the way we handle personal information changes. The date at the top shows when it last changed.
